Due to continued growth, Surgical Information Systems is adding a new Manager, Transcription Operations role to support the expanding Transcription team. This position is a hands-on operational role focused on day-to-day coordination of transcription and quality activities, supporting team members, and helping ensure accurate, timely, and compliant deliverables. The Manager works closely with internal partners and contributes to a collaborative, fast-paced environment while learning and growing with the organization.
ESSENTIAL DUTIES/ RESPONSIBILITIES:
- Support day-to-day transcription operations by coordinating work across transcriptionists and Quality Control Specialists to meet quality, accuracy, and turnaround time expectations.
- Monitor workflow and productivity, identify potential delays or issues, and take appropriate action or escalate concerns when needed to ensure timely delivery.
- Assist with maintaining transcription quality and compliance standards in a HIPAA-regulated
- Serve as a point of contact for routine operational and client-related questions, helping clarify issues and route items to the appropriate internal
- Support resolution of client concerns by assisting with investigation, coordinating next steps, and following through to closure under the guidance of
- Manage assigned email queues and provide timely, accurate responses to client and internal inquiries.
- Partner with onboarding and internal teams to help ensure client-specific requirements, templates, and workflows are documented, communicated, and followed.
- Help train, coach, and support team members, including onboarding and development of new hires.
- Track and maintain operational documentation, client details, workflows, and service records using appropriate tools and systems.
- Support workflow management to ensure transcription and quality teams meet service level and turnaround requirements.
- Participate in rotating on-call coverage, including after-hours or weekends, as assigned.
- Identify opportunities to improve processes, workflows, and service delivery and share recommendations with leadership.
- Utilize standard business systems and tools (e.g., Salesforce, Microsoft Office applications) to support operational and client needs.
- Ensure renewal for key accounts by driving in-depth business activities throughout the client lifecycle-- from deployment and adoption to workflow transformation
- Work with Director, Transcription Operations to ensure proper client service is being delivered, and to improve client service experience

EDUCATION DESIRED:
High school graduate
SPECIFIC KNOWLEDGE & SKILLS REQUIRED:
- 2 years of experience in healthcare administration
- Strong written, verbal, and interpersonal communication skills with an acute ability to listen attentively and to communicate information clearly and effectively throughout all levels of the organization
- Strong analytical skills with the ability to seek underlying assumptions through probing, questioning, and listening
- Computer skills and proficiency in MS Word, Excel, PowerPoint, Teams, and Outlook
- Registered Health Information Technician (RHIT) or Registered Health Information Administrator (RHIA)
- Ability to work independently and as part of a team
- Strong attention to detail and speed while working within tight deadlines
- Exceptional ability to follow oral and written instructions
- A high degree of flexibility and professionalism
